This is an initial 3-month contract with possible extensions up to 2 years. The ideal candidate will manage physical mail, email, and phone calls/messages for the lease vendor group. Summary
The Lease Vendor Admin handle the physical mail that comes in and manage the general mailbox for the lease vendor group. They will also be answering the phones for the lease admin department, handling returned checks, address changes etc. The team is looking for someone who is detail oriented, can work independently, and has basic excel skills. This person will be working within SAP, Teams, and Outlook.
What You Will Be Accountable For
Daily/constant monitoring of Lease Vendor general mailbox
Determine if additional documents are needed and reply to sender as needed
Reply to insurance requests with standard reply
Forward emails to other departments, as required; Archive emails not affecting Lease Vendor
Route Changes of Ownership to appropriate paralegal; Route EFTs to appropriate paralegal / admin
Route payee changes to appropriate paralegal; Route address / contact changes to appropriate paralegal / admin
Follow up weekly on open items requiring additional documents in database by contacting LLs/contacts
Daily/constant monitoring of Toll Free Number (TFN)
Answer phone calls live
Update the TFN log
Log phone messages
Forward call messages to appropriate parties
Refer to the general mailbox to see if a similar request has been made and coordinate accordingly
What Qualifications You Need
High school diploma or GED required. Associate's degree or higher nice to have.
Strong verbal and written communication skills, attention to detail, and critical thinking.
Ability to work independently and manage one’s time effectively.
Ability to apply accounting and mathematical principles to work as needed.
Knowledge of federal, state, and company policies, procedures and regulations as related to accounting nice to have.
Experience with computer applications, such as Microsoft Word, Excel and PowerPoint, and any other related accounting software.
