DESCRIPTION
Provide administrative support for Human Services administration. Collect, review and track timesheets for the Division Managers staff to include temps, interns. Create invoice logs and transmittal sheets for monthly invoice submittals to accounts payable. Assist in tracking cash match and program income as required by grant. Assist in tracking of vendor payments in the city of Houston financial system-SAP. Follow up with Business Management accounts payable staff regarding payment disbursements. File final approved invoice documents and follow up with Aging management team, when applicable. Assist with quarterly reporting reconciliations and updates, as requested. Develop and maintain filing and tracking system for contractor/vendor information to include special initiatives and/or other administration documents. Maintain records for contractor/vendor to include award letters, budget information, risk assessments, audit exceptions and/or technical assistance notices. Attend monthly staff meetings. Will perform other duties as assigned. Must have a valid Texas Driver's license and comply with AP 2-2 policy.


KNOWLEDGE
Requires a high school diploma or a GED.
EXPERIENCE
Three years of administrative or customer service-related experience are required.
PHYSICAL EFFORT
The position is physically comfortable most of the time with occasional periods of stooping, bending and/or light lifting of materials of up to 10 pounds .In the Houston Permitting Center, the position may require lifting of moderately heavy items, such as plans (up to 40 pounds).
WORK ENVIRONMENT:
There are occasional minor discomforts from exposure to less- than-optimal temperature and air conditions .The position may involve dealing with modestly unpleasant situations, as with occasional exposure to office chemicals and/or extensive use of a video display terminal.
PHYSICAL SKILL:
Requires the ability to make coordinated gross motor movements in response to changing external stimuli within moderately demanding tolerances; or the ability to make coordinated eye/hand movements on a patterned response space within low tolerance demands with no real speed requirements.
