Our client, a Top-Tier International Law Firm, is seeking a Contract Attorney Engagement Coordinator for a hybrid 6 month engagement.

As part of the greater Firmwide Legal Recruiting & Development (LRD) Department, the Washington, DC contract Attorney Engagement Coordinator will be responsible for supporting the Firm’s attorney integration, retention, and Diversity Equity & Inclusion (DEI) initiatives in the Washington, DC office. Attorney Engagement runs the programming for the Women’s Leadership Initiative, Parenting Link, and the Firm’s seven Professional Networks: the Access Professional Network (for our attorneys with disabilities), the Asian and Pacific Islander Professional Network, the Black Professional Network, the Military Service Professional Network, the Pride Professional Network (for our LGBTQ+ attorneys), the South Asian Professional Network, and the Unidos Professional Network (for our Latinx attorneys). In addition to these efforts, Attorney Engagement orchestrates office-wide mentoring programs and the Associates Committee, and supports a variety of other office-wide and practice-specific initiatives, including but not limited to onboarding, integration, leave transitions, departure processes, utilization efforts, sponsorship and budget requests, and connections to training, coaching, and support programs through Career Link, Alumni Engagement, Legal Education & Development, and Wellbeing.

Primary responsibilities of the contract DC Attorney Engagement Coordinator include, but are not limited to proactively handling day-to-day program logistics and coordination, scheduling and planning events (meetings, panels, meals and happy hours, and other in-office and offsite gatherings), maintaining up-to-date program calendars, files, and budget documentation, analyzing personnel data spreadsheets and updating program pairings and listservs accordingly, drafting correspondence and invites to program participants, preparing talking points for committee meetings, performing research and analysis, and general administrative duties. 

ESSENTIAL FUNCTIONS (This list is not exhaustive and may be supplemented and changed as necessary.)

  • Support the D.C. Attorney Engagement Manager in implementing the Firm’s DEI initiatives on a local level; support broader attorney retention and engagement initiatives, including but not limited to onboarding, mentoring, coaching, Associates Committee administration, utilization and workflow integration processes, leave and departure processes, and coordination with Legal Education & Development, Career Link, Alumni Engagement, and other key LRD teams.
  • Maintain the Attorney Engagement calendar, budget documents, and records systems, updating appropriately with backup documentation.
  • Plan and coordinate all aspects of attorney events, including invitations, room reservations, catering, and materials preparation; coordinate closely with the Conference Center and Travel, Meetings, and Entertainment teams to move planning for events forward while staying within budgets, as directed by the Attorney Engagement Manager.
  • Track RSVPs, spend, and documentation for all Attorney Engagement programs through the Attorney Engagement calendar and data management systems. 
  • Track new hires to the D.C. office and schedule 30- and 90-day onboarding check ins with the Attorney Engagement Manager; perform similar tasks for attorney departures and leaves.
  • Complete sponsorship request packages and submit for approval; coordinate directly with sponsored organizations to deliver marketing materials and handle related logistical matters.
  • Monitor LRD reports and related updates for changes in attorney population; suggest attorney mentoring program updates and assist with mentor assignment process; update invitations, program materials, and Attorney Engagement-run listservs based on personnel changes and manager suggestions.  
  • Process expenses reports, check requests, and P-Card statements.
  • Attend weekly administrative planning meetings and flag key events to other office teams to facilitate appropriate coordination.
  • Ensure established guidelines and best practices are followed and identify efficiencies.
  • Attend to miscellaneous administrative duties such as filing, creating labels, nametags, scanning and copying, and distribution of program materials to attorney population in coordination with Mailroom team.
  • Conduct ongoing research on potential programs and policy updates as assigned.
  • Support analysis and reporting for the Diversity Equity & Inclusion Committee and Subcommittees.
  • Assume other duties and special projects as assigned by the Attorney Engagement Manager.

Qualifications & Requirements
Education, Work Experience, Skills
  • Bachelor’s degree required.
  • Three-plus years of relevant work experience in similar setting, a law firm, or a professional services firm is strongly preferred.
  • High level of collaboration and the ability to work independently.
  • Strong organizational skills; excellent proofreading and communication abilities (oral and written).
  • The ability to proactively manage multiple tasks and workstreams in a fast-paced environment while maintaining exceptional attention to detail and a professional demeanor. 
  • Excellent interpersonal skills and professional judgment.  
  • Ability and willingness to work overtime, and evening/weekend hours to meet deadlines and internal client needs.
Technologies/Software
  • Technical experience should include the Microsoft Office Suite.
  • High proficiency in Outlook and Excel required (skills must include facility with formulas, pivot tables, and functions to process high volumes of data accurately and efficiently).
