    Hybrid Schedule 
    Onsite – 2 days a week (Tuesdays & Wednesdays)/3 days remote

    Vaccination Requirement 

    Hours – 37.5 workweek, do not foresee any overtime

    Parking – there is garage under building, directly above McPherson Square metro

    A Bachelors degree and 3-5 years of experience is required!

    Job Description 
    This role will involve supporting the communications team for a temporary leave.

    We are requesting a temporary EA beginning ASAP. This is a temporary assignment with no permanent hire expectation beyond the dates stated. This assignment is mostly contract work for this key period as outlined below so we really need someone who understands Nonprofit administration and contract work. 
     
    Executive Assistant US Programs and Contracts Specialist (EACS)
     
    Summary Description
     
    The Executive Assistant and Contracts Specialist provides high-level administrative and contracts coordination. Duties are administrative, operational, and contract project-based and often focus on demanding timelines and competing priorities. This position provides key support for contract coordination including processing and oversight, liaison with staff, consultants, partners, media, local and regional legislative leaders and their staff. The EA is responsible for scheduling related travel, meeting management, handling information requests, preparing reports and correspondence. Additionally, the EA has the opportunity to coordinate projects that may include research and reporting.
     
    This position is often privy to confidential information and as such, requires maturity, diplomacy and discretion.   
     
    Primary Duties
     
    General Administrative and Operational Support

    • Coordinates internal and external meetings,
    • Coordinates internal and contract related travel and lodging,
    • Assists with coordination of organization-sponsored events,
    • Assists with strategic projects,
    • Process a variety of complex reports and memoranda,
    • Assist in gathering, managing and organizing support information, and
    • Coordinate special project assignments that may include, research, analysis, project coordination, training and other duties as assigned by the V.P. State Advocacy.

    General Contract and Operational Support
  • Maintains and has primary oversight of U.S. contracts, and maintain contract files and database for state advocacy and a broad selection of  U.S., federal and state programs
  • Process check requests, invoices, and vendor payments
  • Process funding requests and manage approval process for contracts across multiple teams
  • Working in conjunction with the VP to manage contacts with consultants, vendors, media, and partners, including arranging meetings, conference and other calls.

  • Requirements
  • Meticulous attention to detail with heavy contract management,
  • Able to shift gears and reprioritize with constantly changing demands,
  • Solid knowledge of administrative and clerical procedures and systems,
  • Knowledge of and proficiency with a variety of computer software applications including Microsoft Office,
  • Proficiency with travel arrangements and planning,
  • Ability to interact and communicate with individuals at all levels both inside the site and externally
  • Ability to maintain the confidentiality of information received
  • Ability to take initiative and work independently
  • Ability to be flexible, positive, and thoughtful with good energy
  • College Degree required, and administrative and contract support experience or combined related experience.
